Every person in a workspace has a role. A role determines what they can do, from creating dashboards to managing workspace settings.

Dashbreeze includes three workspace roles: Owner, Admin, and Member. Choosing the right role helps you give people the access they need while keeping important workspace settings secure.

Understanding workspace roles

Owner

The Owner has complete control over the workspace.

Owners can manage every part of the workspace, including dashboards, tables, integrations, members, and workspace settings. They are also the only users who can manage the subscription, delete the workspace, and transfer ownership to another member.

Because the Owner has access to every setting, this role should only be assigned to the person responsible for managing the workspace.

Admin

Admins help manage the workspace alongside the Owner.

They can create and manage dashboards, tables, integrations, and members. They also have access to workspace settings and can invite new members, remove existing members, and change member roles.

However, Admins cannot delete the workspace, manage the subscription, or transfer ownership to another user.

Admins are a good choice for trusted teammates who help manage the workspace.

Member

Members can work with the content inside the workspace but cannot manage the workspace itself.

They can create and edit dashboards, create and manage tables, and connect or manage integrations. However, they cannot access workspace settings, invite or remove members, change roles, manage the subscription, delete the workspace, or transfer ownership .

The Member role is designed for people who need to work with data and dashboards without having access to administrative settings.

Choosing a role when inviting someone

Every invitation includes a workspace role.

Every member is assigned a role when they are invited to a workspace. To invite someone, open the workspace selector in the left sidebar and click Invite members. Enter the person's email address, choose their role, and send the invitation. After they accept the invitation, they'll automatically receive the permissions associated with that role.

Choose the role based on what the person needs to do. Most collaborators only need the Member role, while trusted teammates who help manage the workspace are better suited for the Admin role.

Changing a member's role

You can change a member's role at any time.

Open your workspace settings by clicking the workspace selector in the left sidebar and selecting Settings. Then, go to the Members tab, find the member whose role you want to update and choose the new role. The new permissions take effect immediately.

Important:Only Owners and Admins can change another member's role. Admins can change members between Admin and Member, but they cannot assign the Owner role or change the current Owner's role.

Best practices

To keep your workspace secure, it's recommended to assign roles based on each person's responsibilities.
